POSITION SUMMARY

The Personnel Data Associate is responsible for managing and maintaining all electronic personnel data in Internews’ ERP system as well as other systems and/or third-party vendor applications. The Personnel Data Associate also manages ERP system report design and delivery, automated processes, system testing and upgrades, data auditing and troubleshooting. In addition, the Personnel Data Associate provides administrative support to the Human Resources team.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, with other duties upon request:

Data Administration:

Manages and maintains personnel data in Internews’ Enterprise Resource Planning (ERP) system and electronic records;
Manages personnel data on benefit vendor and third-party systems and websites;
Supports data administration and technical design of Applicant Tracking System (ATS);
Designs and generates reports with ERP and ATS systems, responding to regular and ad-hoc requests;
Designs and performs regular data audits within all HR systems, updating personnel data as needed in response to data audit findings;
Sets-up and maintains electronic personnel record folders, ensuring compliance with policies;
Coordinates with HQ IT team on system troubleshooting and updates;
Provides support and reporting on personnel data for internal and external organizational audits;
Tracks and responds to HR-help ticketing system for data administration issues;
Maximizes ERP system capabilities related to automated processes and information tracking;
Performs terrorist screenings for all headquarters employee and personal services contractor staff;
Manages technical set up and integration of systems with third party vendors for HR purposes/trainings;
Makes recommendations for system improvements and updates, keeping up with current data trends.
General Administrative Support:

Provides administrative support to recruitment, benefits, and global HR functions;
Posts jobs to external advertising sources, tracks advertising expenses and reconciles costs as requested;
Supports maintenance of HR sub-section of Internews Sharepoint website;
Reconciles expenses and credit card receipts and codes department budget items as needed;
Supports various onboarding processes, including ordering ID badge, business cards and background screens;
Develops and updates existing forms, documents, and presentations;
Support on field monthly staff census process and new regional project start-ups and close-outs as requested;
Possesses and understanding of and demonstrated commitment to upholding Internews’ Core Values;
Other duties as requested.

QUALIFICATIONS

University degree, or equivalent professional work experience
2+ years database experience, preferably with an ERP level software
Proven ability handling confidential and/or sensitive information
Strong grasp of Microsoft Windows environment including MS Word, Excel, Outlook, and Explorer
Organized, logical, detail-oriented
Ability to take direction, yet work independently and complete tasks on time
Experience working in collaborative team environment
Internet savvy
Experience with vetting services, web-authoring, intranet, and/or page layout software, a plus
International experience, a plus
