POSITION SUMMARY

The Administrative Associate is responsible for providing general administrative support across a variety of functions within the Human Resources department, which may include recruitment and hiring, benefits administration, data entry, and administrative assistance.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, with other duties upon request:

Sets up and maintains electronic personnel files for corporate employees and contractors;
Drafts personal services contracts and modifications as requested;
Performs benefits entry and vendor support duties as requested;
Distributes and tracks contract documents through electronic signature software;
Supports the onboarding of new staff members through the distribution, collection, and filing of onboarding documentation;
Supports CV database searches on request;
Supports Headquarters recruitments, candidates, talent pools, question library, etc.;
Posts jobs to Internews and external advertising sources, tracks expenses and reconciles costs;
Performs background screenings for headquarters staff;
Writes employment verification letters upon request;
Tracks department expenses, reimbursements, and payment requests;
Supports department credit card reconciliation;
Processes and validates third-party vendor billing;
Assists with maintaining HR department third-party membership accounts;
Organizes and updates HR documents on the internal website;
Supports annual processes such as appraisals, trainings, and compliance reporting;
Running monthly or ad-hoc HRIS reports;
Understanding of and demonstrated commitment to upholding Internews’ Core Values;
Other duties as requested.

QUALIFICATIONS

University degree, or equivalent professional work experience
2+ years office administration experience
Professional experience in HR a plus, but not required
Proven ability handling confidential and/or sensitive information
Prior experience with databases, preferably an HRIS or ERP
Strong grasp of Microsoft Windows environment including MS Word, Excel, Outlook, and Explorer
Organized, logical, detail-oriented
Ability to take direction, yet work independently and complete tasks on time
Experience working in collaborative team environment
Strong writing and grammar skills, strong interpersonal skills
Internet savvy
Experience with web-authoring, intranet, and/or page layout software, a plus
Previous experience working with ATS software, a plus
International experience, a plus
