Office Manager 5th & D Street Theater
Role summary
The Office Manager helps keep 5th & D Street Theater
organized, on schedule, and running smoothly. This part-time role handles the
behind-the-scenes office work that helps a community theater function: basic
bookkeeping, records, calendar support, rental paperwork, and routine
communication. The Office Manager works with board members, staff, volunteers,
production teams, and renters to make sure people have the information and
paperwork they need.
Key responsibilities
- Help
with bookkeeping and basic financial tasks, including checks, bills,
reimbursements, payroll information, receipts, and payment records.
- Keep
important records organized, including contracts, invoices, rental
paperwork, production paperwork, receipts, and board materials.
- Help
maintain the master calendar for rehearsals, performances, rentals, work
calls, meetings, and other theater uses.
- Support
rentals by helping with paperwork, invoices, payments, calendar details,
and follow-up.
- Help
manage office supplies, mail, filing, printing, and other basic office
needs.
- Help
with routine communication as assigned, such as simple notices, email
updates, press materials, or production information.
- Notice
missing paperwork, schedule conflicts, payment questions, or other office
issues and bring them to the right person.
Boundaries of the role
This role is NOT responsible for:
- Managing
productions, directing shows, casting, design choices, rehearsals, or
creative decisions.
- Managing
the building, maintenance, safety rules, keys, alarms, internet, or
technical systems.
- Leading
front-of-house, volunteers, concessions, ticketing, or audience services.
- Making
financial decisions outside approved procedures.
- Negotiating
major contracts, setting policy, or making board decisions.
- Taking
on extra duties without clear agreement, approval, and pay when
appropriate.
Working relationship
The Office Manager reports to a board-designated
representative of NCRT, who serves as the day-to-day point of contact and
provides direction on behalf of the organization. This representative
coordinates with the appropriate boards, staff, and committees when additional
direction or approval is needed.
The same designated NCRT representative supports the Office
Manager, Production Manager, and Facilities Manager as a coordinated management
team. The Office Manager also works closely with the Production Manager,
Facilities Manager, and Director of Public Experience.
Time, pay, and expectations
This is a part-time, hourly position paying $18 per hour,
currently estimated at approximately 6–10 hours per week on average. Workload
will vary and may be heavier during productions. The schedule may include evenings
and weekends as organizational and production needs require.
Some work may be done from home when in-person tasks are not
needed. Some on-site work will be required for mail, records, supplies,
printing, meetings, or other office tasks. The schedule can be flexible, but
the role requires steady follow-through, timely communication, care with
private information, and attention to deadlines.
Helpful experience
- Bookkeeping,
bill payment, payroll support, or nonprofit office work.
- Good
organization and comfort keeping records in order.
- Calendar
coordination, scheduling, or office administration.
- Clear,
friendly written communication.
- Comfort
working with volunteers, artists, board members, renters, vendors, and
community partners.
- Care
and discretion with financial records, contracts, payroll information, and
internal communication.
- Experience
with community theater, nonprofit arts groups, or small offices is helpful
but not required.
