Humboldt Bay Municipal Water District (HBMWD) is a Special District Government Agency that provides drinking water to nearly 90,000 residents of Humboldt County via wholesale contracts with seven local municipalities as well as a few direct retail customers. The District also provides raw (untreated) water to the Samoa Peninsula for industrial/business use. We are comprised of a very small staff, who are very busy, all day, every day.
Our Eureka office is currently seeking an Executive Assistant/Board Secretary to complete our team. This full-time, fully benefitted position is an integral part of our office and provides not only key administrative support to the General Manager, but is also responsible for assembling much of the data and information that is produced for the Board of Directors and the public. While familiarity with working for a government agency and understanding of, or prior attendance of, board meetings/council meetings is helpful, it is not required.
The responsibilities of the Executive Assistant to the General Manager can include, but are not limited to: communicating effectively with the General Manager and their direct reports; assisting with maintaining the General Manager’s schedule and arranging meetings (including anticipating what might be needed for these meetings); drafting District correspondence; proofread, edit, and format a variety of routine reports and complex documents; perform other administrative duties as assigned and as listed in the job description (hbmwd.com).

The responsibilities of the Board Secretary can include, but are not limited to: attending all Board meetings and other meetings as assigned (both virtual and in-person); organize, proofread, produce, and distribute the Board of Directors meeting agenda and Board packet based on established District standards and procedures; verify the accuracy and completeness of documents provided to the Board; take, transcribe, and proofread, clear and concise minutes for approval by the Board; provide administrative support to the Board of Directors as needed. While knowledge and familiarity with general protocol for Board Meetings, and the Ralph M. Brown Act is strongly suggested, we are willing to provide training to the right individual.
The ideal candidate will have a wide skill-set including a great work ethic, strong attention to detail, prioritize accuracy, excellent oral and written communication skills, and experience with business letter/report writing, editing and proofreading. Our new team member will be able to operate all essential office equipment, meet schedules and deadlines and be able to work both independently as well as in a team environment. Depending on the candidate’s experience, there may be significant training involved, so the ability to take guidance and direction, willingness to learn, research, and investigate unfamiliar topics will be essential.

While this is typically a Mon-Fri, 8am-5pm position, overtime, weekends and holidays may occasionally be required. The salary range for this permanent, full-time position is $4,416 - $5,367/month, plus a terrific benefits package.
Candidates will be required to complete an accuracy and skills set test as part of the interview process. A pre-employment physical and drug screen are required. Candidate must possess valid California driver’s license.
